My journey with Motivity started from the other side of the screen. Before joining the team, I was a clinical lead tasked with migrating over 1,000 clients from our previous platform. I was that anxious customer worrying about every detail: Where are all our data going? How will our BCBAs® react? How can we pull this off without disrupting daily clinical care?
I fell in love with the process, and today I guide others through that exact same journey as an Implementation Manager at Motivity. On nearly every kick-off call, I share the same reassurance: “I’ve walked in your shoes, lived this transition firsthand, and my job is to make sure you navigate it smoothly using everything I learned.”
What makes changing software intimidating
It isn't the technical side of data migration that makes changing platforms intimidating, it's the uncertainty and human emotions that accompany major change. At the time, I brought a massive list of concerns to Motivity. I assumed we needed to move every piece of historical data. Motivity helped us see a smarter path: they extracted the essential information to get us fully operational. We archived our historical billing records for easy reference without cluttering the new system, configured our clinical programs, and seamlessly picked up right where we left off once our BCBAs® gained their footing.
Data migration requires careful mapping and verification, but at its core, it’s a technical problem with a technical solution, and dedicated teams on both sides exist to get it right.
What caught me off guard was everything around the data. The vital organizational groundwork that no automated script can replace.
Contracts and authorizations are where momentum slows
Every ABA practice relies on a web of payor agreements, varying funder rates, overlapping effective dates, and provider enrollments. Combine that with active authorizations and partially used hours that must land accurately, and it becomes clear where real effort is required.
Because data structures and terminology vary wildly across systems, this information rarely transfers automatically. For growing practices focused on learner care, payor documentation can easily become scattered. Reconciling these details during configuration takes intentional effort, but it rewards your administration with a single, accurate source of truth for every active contract, enrollment, and balance.
Here are the essential strategies I share with Motivity customers every day to ensure a confident transition:
1. Archive old data instead of migrating everything.
Focus on what matters for go-live: active client records, current authorizations, open claims, and staff credentials. Archiving older billing history in a read-only format saves time and keeps your new system clean.
2. Make implementation a shared team triumph.
Train a core group of 5 to 10 clinical and administrative champions. Having fluent, confident team members creates a peer support network that eases hesitation and encourages collaborative learning.
3. Delegate contract cleanup across a dedicated group.
Divide payor agreements and authorizations among a small task force. Spreading the responsibility prevents burnout, speeds up data entry, and ensures multiple people understand contract setups in depth.
4. Plan for the learning curve with empathy.
While RBTs® adapt quickly to Motivity's intuitive interface, mastering new workflows takes time. Acknowledging this brief adjustment period and building proactive support around it turns potential friction into a smooth, empowering experience.
5. Embrace being a learner again—it gets easier.
Much of the anxiety around platform changes stems from the vulnerability of learning something new. As BCBAs, we thrive on control, so stepping back into the role of a novice while managing a full caseload can feel overwhelming. Being the student again is uncomfortable, but that is precisely why your Implementation Managers exist. Having walked this path ourselves, our goal is to guide you every step of the way so you feel confident and supported.

The fear is real. So is the fix.
If you're considering a transition, I understand the weight of managing clinical operations while switching systems. But with thoughtful preparation and team buy-in, practices don't just survive the move, they unlock a more efficient, organized, and empowered future.
